Identify complete document groups
Separate individual reports and put their pages in order. Look for page numbering, attachments and references to results tables. Keep handwritten notes that belong to the report. If a page is missing, mark the document incomplete instead of presenting the remaining pages as the whole assessment.
Capture each page evenly
Place documents flat where permitted and use even light. Keep page edges, dates and signatures within the image. Review faint print and handwritten findings at a readable size. Retake a blurred page before combining files; reducing the file size later cannot restore text that was never captured clearly.
Label the finished file
Use the equipment reference, document type and date in the filename. If the report covers several machines, include a short index identifying the relevant pages while preserving the original context. Keep a copy of the source scan separate from any version prepared for sharing or redaction.
Check the exported result
Open the final file and read the first page, key findings and last page. Verify orientation and page order, and confirm the file is within the submission limits. If compression makes a serial number or result unreadable, reduce the scope of the upload instead of sacrificing the evidence. Record which additional documents remain available.
