Assign units to pickup stages
Create a schedule listing the exact unit references and included accessories for each visit. Confirm whether the buyer’s offer depends on collecting all units together or permits staged collection. Do not promise independent stages while shared equipment or site arrangements remain unresolved.
Identify dependencies between stages
Ask responsible site personnel and qualified providers what must remain available until later work is complete. Record shared access, retained components and planned changes to the loading area. These are coordination questions, not instructions for disconnection or lifting. Escalate unresolved dependencies before confirming the first appointment.
Keep separate handover records
For each visit, record the collected units, accessory counts, date and any agreed exceptions. Mark the master inventory promptly so an item cannot be scheduled twice. If a component stays behind temporarily, identify where it remains, who is responsible for it and the agreed next step.
Close the final stage explicitly
After the last collection, reconcile the master list against all handover records and any retained or excluded items. Confirm the status of agreed site-restoration work separately from equipment removal. Keep payment and release conditions in the transaction documents; a scheduled pickup alone does not establish that those requirements are satisfied.
