Record the voltage exactly as shown, preserving paired values, phase information and the source. Upload a readable photo rather than shortening an unfamiliar notation. Do not use the building’s utility voltage as proof of the generator’s configuration. If you cannot identify the relevant label, mark the field uncertain and provide the available evidence.
Distinguish a plate from a current setup record
A plate or manual may show information that requires interpretation for the specific set. Include commissioning or service documentation that identifies the actual configured output when available. Date those records and disclose later changes. Avoid describing every option in a general brochure as a capability verified on the generator in front of you.
Refer proposed changes for review
If a buyer requests another voltage, provide the exact set and alternator identities to a qualified specialist or the manufacturer’s support channel. Ask for written, equipment-specific guidance. Do not adjust wiring, open electrical compartments or change controls to prove a sales claim. Keep the proposed change separate from the equipment’s present description.
Record who is relying on what
Your offer notes should state the documented current configuration and whether the buyer’s evaluation assumes any modification. Clarify who is investigating that modification and whether the bid remains conditional. Retain the original evidence so a future handover does not accidentally present a proposed conversion as completed work.
